Privacy & Data Handling

What Munzako Data Management Systems collects, who can see it, where it is kept, and what happens if we stop.

Last updated 28 October 2026

The short version. Your school's records belong to your school. You can export all of them at any time. Your district sees totals and staffing, not individual pupil records. The system is hosted in the Netherlands. The developer can technically reach your data and does so only to fix faults you have reported.

1. What we collect

About learners

Name, sex, date of birth, admission number, class, guardian name and contact, any disability recorded by the school, photograph where the school adds one, attendance marks, examination marks and report cards.

About teachers and staff

Name, date of birth, NRC number, TS number, staff number, qualifications, salary scale, subjects taught, contact details, photograph where supplied, duty sign-in times and, where the school has switched on location checking, the position reported by the device at sign-in.

About schools

Name, district, province, level, enrolment and staffing figures, timetable, and the school's own coordinates where recorded.

We do not collect anything a school does not enter. There is no tracking, no advertising, and no third-party analytics on this system.

2. Who can see what

RoleCan seeCannot see
School staff Everything for their own school Any other school
Teachers Their own classes and subjects, their own staff record Other classes, other teachers' records
District (DEBS) Enrolment and staffing totals per school, leadership posts, teacher records in their district, data quality scores Individual pupil records, per-class breakdowns, marks for named children
Province & Ministry The same, across a wider area Individual pupil records
Developer (system owner) Technically all data, through the hosting account —
On that last row. Anyone who runs a hosted system can reach the database behind it; saying otherwise would be untrue. What we undertake is this: we look at a school's records only when that school has reported a fault that cannot be diagnosed any other way, and every action taken inside the system is recorded in an audit log the school can be shown.

3. Why pupil data stops at the school

Enrolment reaches the district as a total per school, never class by class and never by name. A district plans postings and resources from totals; it does not need to know which child sits in which class. Keeping the breakdown inside the school also keeps small-cohort figures — where a single child can be identifiable from a number — out of a district database.

4. Where the data is kept

On servers in the Netherlands, with backups held in Lithuania, operated by our hosting provider. Data is transmitted over an encrypted connection. Passwords are stored as one-way hashes and cannot be read by anyone, including us.

We would prefer to host in Zambia and will move if a suitable provider becomes available. Stating the current position plainly seems better than leaving it unsaid.

5. Who owns it

6. If we stop

If Munzako Data Management Systems ceases to operate, every school will be given no less than 60 days' notice and a full export of its own data in open formats (SQL and CSV) that can be loaded into another system. A school's records are not held hostage to the service continuing.

7. How long records are kept

A school's records are kept for as long as the school uses the system. Learners who have left and staff who have transferred remain on the roll as historical records, because examination results and attendance are documents a school may need years later.

A school may ask us to delete its data entirely. We will do so within 30 days, keeping only what law requires us to keep.

8. Children's data

Most of what this system holds concerns children. We treat it accordingly: it stays with the school that entered it, it is never used for any purpose other than running that school, and it is never passed to anyone outside the education structure. Report card links sent to parents carry a long random token, expire, and can be withdrawn by the school at any time.

9. Security

No system is perfectly secure and we do not claim otherwise. If you believe an account has been misused, contact us and we can tell you from the audit log what was done and when.

10. Your rights

Any school, teacher or parent may ask us to:

Requests about a learner should go to the school first — the school holds the record and can act immediately. Where the school cannot help, contact us directly.
